EWNS takes the protection of personal data seriously. Personal data is handled confidentially and in accordance with applicable data-protection legislation, in particular the General Data Protection Regulation (GDPR).
This Privacy Policy explains how personal data may be processed when you use this website, contact EWNS or make an enquiry about information, events, participation, partnerships or other business activities.
3. Website access and server logs
When you access this website, our hosting service provider may process technical information required to deliver and secure it. This may include your IP address, the date and time of access, requested pages or files, browser type and version, operating system, referrer URL, device information and the server response status.
The processing is necessary for the secure, stable and reliable operation of the website and is based on our legitimate interests under Article 6(1)(f) GDPR. Standard access and error logs are retained for no longer than seven days and are then deleted or overwritten. A longer retention period may apply only where it is necessary to investigate a specific security incident or comply with a legal obligation.
4. Contacting EWNS
If you contact EWNS by email or through a contact link on this website, we may process your name, contact details, company or organisation, professional role, golf club or other affiliation, interests relating to events or partnerships, the content of your enquiry and any other information you choose to provide.
The website does not store contact enquiries in its own database. Contact links open your email application; the information you send is processed through your email provider and the relevant EWNS mailbox.
We use this information to respond to your enquiry, assess relevant EWNS opportunities, coordinate participation and manage subsequent communication. Depending on the nature of the enquiry, processing is based on Article 6(1)(b) GDPR for contractual or pre-contractual measures or on Article 6(1)(f) GDPR for our legitimate interest in responding to business and other enquiries.
5. Events and network activities
If you enquire about or participate in an EWNS event, golf tournament, network activity or other service, we may process the personal data required to organise and deliver that activity. This may include contact details, company or golf-club affiliation, professional role, event interests and participation-related information.
Processing is generally based on Article 6(1)(b) GDPR where it is required to prepare or deliver the relevant activity or, where applicable, on Article 6(1)(f) GDPR based on legitimate interests.
7. Cookies and external services
Cookies, analytics and marketing. The public website currently does not use analytics, advertising or behavioural-tracking tools, and EWNS does not operate a newsletter service through the website. No optional cookies are currently set by EWNS, so no cookie-consent platform is active. If optional cookies or consent-based services are introduced, they will not be activated until any consent required by law has been obtained.
Google Fonts. The fonts Montserrat and Newsreader are currently loaded from Google Fonts. When these files are requested, your browser connects to Google servers and transmits technical connection data, including the IP address. This processing supports a consistent presentation of the website and is based on our legitimate interests under Article 6(1)(f) GDPR. Further information is available in Google's Privacy Policy.
Interactive event map. The event archive uses self-hosted MapLibre software and retrieves map styles and tiles from OpenFreeMap at tiles.openfreemap.org. The external server receives the IP address and technical request data needed to deliver the map. This processing supports the interactive presentation of the EWNS event record and is based on our legitimate interests under Article 6(1)(f) GDPR.
Other services. The website does not currently embed Google Maps, YouTube or Vimeo content. Social-media references are ordinary external links; no social-media feed or tracking plug-in is loaded on the website.
8. Data retention
Personal data is retained only for as long as it is needed for the purpose for which it was collected or for as long as statutory retention requirements apply. Standard server logs are retained for no longer than seven days. Enquiry, event and business correspondence is reviewed according to its purpose and any applicable contractual or statutory requirements.
When the relevant purpose no longer applies and there is no legal or other legitimate reason for continued retention, the data is deleted.
9. Your rights
Subject to the applicable legal requirements, you have the right to access your personal data under Article 15 GDPR, request correction under Article 16 GDPR, request deletion under Article 17 GDPR, request restriction of processing under Article 18 GDPR, receive data in a portable format under Article 20 GDPR and object to certain processing under Article 21 GDPR.
Where processing is based on your consent, you may withdraw that consent at any time with effect for the future.
10. Right to lodge a complaint
You have the right to lodge a complaint with a competent data-protection supervisory authority if you believe that the processing of your personal data infringes applicable data-protection law. The supervisory authority responsible for EWNS in North Rhine-Westphalia is the State Commissioner for Data Protection and Freedom of Information North Rhine-Westphalia (LDI NRW).
